How to assign leads fairly without custom code

HubSpot can do a round robin without code. You can even make it respect who is available.

The trick is a simple property and a smart list.

Setup steps

  • Create a user property named Available (Yes/No).
  • Build an active list for your team where Available = Yes.
  • In your lead workflow, use Rotate leads between users and feed it the list.
  • Add a branch for when the list is empty. Send leads to a manager or shared inbox.

How teams use it

  • Reps update availability through a short internal form.
  • Send a morning reminder email or Slack ping with the link.
  • This keeps the assignment fair and fast.

When to use Zapier or Make

  • If you want calendar-driven rules, connect Google/Outlook with Zapier or Make.
  • Map an “Available” event to flip the property.
  • Keep the no-code round robin inside HubSpot.

Q: Can HubSpot read my calendar?

A: Not natively. Use Zapier/Make for that.

Q: What if no one is available?

A: Use a fallback branch to assign to a manager.

Q: Does this work with part-timers?

A: Yes. Only those marked Available get leads.
